Customise invoice PDFs

Your invoice and quote PDFs carry your brand and your business details automatically. There’s no template to design — fill in the right settings and GM renders a clean, consistent document every time. PDF download is a PRO and ENTERPRISE feature.

What shows on a PDF

  • Your logo and brand colours, from Branding.
  • Your business name, address, phone, and VAT number (when registered).
  • The client and vehicle, the line items grouped Service → Parts → Labour → Call-out, and the totals.
  • A VAT line at 15% when you charge VAT, and your terms & conditions at the foot.

Set it up once

  1. Fill in your business details under Settings — they print on every document.
  2. Upload your logo and set the palette under Settings → Branding.
  3. Set your invoice and quotation terms under Settings → Business & Billing → Terms & Conditions.
  4. Turn on VAT if you’re registered. After that, every PDF is consistent.
Download a PDF: open an invoice and click Download PDF (PRO+). The same renderer powers quotes, and the customer-facing web pages mirror the PDF layout, so what they see online matches what they print.

Terms are frozen at issue

The terms text is captured onto a document the moment you issue an invoice or send a quote. Editing your terms later only affects documents from then on — it never rewrites one you already sent. Drafts on quotes carry a QUOTATION watermark so they can’t be mistaken for an invoice.
